General conditions

These are the terms that apply to every journey booked with Papillon Reizen. Please read them carefully — your booking is an acceptance of everything below.

1. Booking and payment

A booking is made by submitting our booking form together with a 25% deposit. The balance is due six weeks before your departure date. If you book fewer than six weeks before departure, the full amount is due at the time of booking.

2. Trip costs

Quoted prices exclude international airfare unless explicitly stated. Additional charges may apply for non-standard arrival or departure dates, or for changes to the agreed itinerary.

3. Organisation

Trip planning begins as soon as your deposit is received. We aim to have a first draft itinerary back to you within one working day.

4. Traveller responsibilities

It is the traveller's responsibility to arrange travel insurance, health cover, visas, vaccinations and valid travel documents. We can help with invitation letters where these are required, but final responsibility rests with you.

5. Cancellation by the traveller

If you need to cancel, the following scale applies, counted from the start date of the trip:

  • More than 6 weeks before: loss of the 25% deposit
  • Between 2 and 6 weeks before: 70% of the trip cost
  • Less than 2 weeks before: 100% of the trip cost

We strongly recommend cancellation insurance at the time of booking.

6. Cancellation by Papillon Reizen

For scheduled group tours, Papillon Reizen may cancel a departure if the minimum number of participants has not been reached eight weeks before the start date. In that case we will always offer a smaller-group alternative at an adjusted price, a full refund, or a transfer to another departure.

7. Liability

Papillon Reizen is in no case liable for the loss or theft of, or damage to, the traveller's belongings. Similarly we cannot be held responsible for delays, cancellations or disruptions caused by events outside our control — weather, border closures, political events, strikes, health advisories.

8. Itinerary flexibility

In spite of careful preparation, it can be necessary to adjust the itinerary before or during the trip — for safety, seasonal access, or force-majeure reasons. We will always communicate changes promptly and propose the best alternative available.

9. Photo and video rights

We occasionally use photos and short videos from trips on our website and social media. If you prefer not to be featured, simply let your guide know at the start of the trip and we will respect that.

10. Fair trade and social responsibility

Our partners on the ground — guides, drivers, cooks, accommodation owners, artisans — are compensated fairly, in line with or above local industry standard. Illegal activities of any kind are strictly forbidden on our tours.

11. The Papillon Funds

A portion of every trip is allocated to the Papillon Emergency Fund and Project Fund. This is non-negotiable and built into every quote.
